37-year-old growing company serving the multifamily residential community in Houston is seeking self-motivated bilingual Lead Administrative Assistant. Must possess strong communications and people skills and be proficient in Microsoft Office Word and Excel. This role will be responsible for service on new an existing accounts. Must be speak English and Spanish

Responsibilities included but not limited to: *

  • Primary responsibility: Process 40 to 75 customer orders via phone, email, fax and text
  • Primary responsibility: Ensure the accuracy of 40 to 75 orders placed per day by ensuring that all documentation and information required for orders are collected and processed.
  • Provide Excellent customer service to clients over the phone and via email. MUST HAVE EXPERIENCE DEALING WITH DIFFICULT CLIENTS
  • Must be able to identify problems and craft a solution to solve them.
  • Maintain Operations Log for work orders, supervisors & quotes requests
  • Partner with accounting department to ensure accurate and timely payroll processing
  • Responsible for ensuring that all quote requests are followed up on
  • Responsible for ensuring that customers receive a follow up call, email or visit after each job is completed
  • Responsible for ensuring that all customer issues are resolved in a timely manner
  • Responsible for maintaining accurate customer Database
  • Maintain communications with staff, technicians & customers on a daily basis
  • Maintain Field Report files/pictures and other required information.
  • Perform Inventory counts and place appropriate orders of low items
  • Partner with Operations supervisor to ensure that work is completed as required by customer.
  • Oversee the work of other admin assistants
  • Perform other duties as assigned

* Skilled Required Include:

  • High School Diploma and 2-4 years of related experience and/or training. Bachelor's degree is preferred.
  • Experience in the Service Industry (plumbing, HVAC, remodeling etc) is strongly preferred.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
  • Ability to multi-task and work in fast-paced environment
  • Excellent Professional Verbal and Written Communication Skills
  • Computer Literate with proficiency in MS Word, Excel, and Outlook
  • Capable of developing and training others to follow processes and procedures
  • This job is most suitable for perfectionists and detail oriented individuals
  • Must be very organized and skilled at multitasking
  • Must be able to lift up to 25 lbs repetitively

Office Hours: 8am - 5:30pm and a rotational Saturday (approximately once a month)
